Job Description
The university seeks an executive assistant to the vice president for finance and facilities who will perform a wide range of administrative, office support, record keeping, scheduling, and communication activities. They will aid the vice president in facilitating the efficient operation of the finance and facilities division, interacting with employees who work in a remote (virtual) or hybrid mode as well as those who work on-site, and supervising student employees if/as assigned. The position requires a highly motivated self-starter with the ability to prioritize and perform complicated tasks.
The executive assistant provides administrative assistance with scheduling, receives inquiries, prepares messages and communications on the vice president’s behalf, provides support for two Board of Trustees committees, manages budgets, manages activities related to university property leases and subleases with Salem State University Assistance Corporation, supports other finance departments and handles miscellaneous duties.
Required Qualifications:
- An associate degree in business, office administration or a related field
- Minimum of seven years' experience in office management, preferably supporting a senior level officer
- Experience communicating effectively in oral and written modes
- Experience planning, organizing, and working efficiently, accurately, and independently and coordinating efforts of others in accomplishing assigned work objectives
Preferred Qualifications:
- A bachelor’s degree
- Experience working in higher education
- Experience working in a hybrid or remote mode
- Experience utilizing computerized software and accounting systems
- Experience exercising discretion in handling confidential information
- Experience in gathering and obtaining information by examining records, documents, and reports
- Proficiency in MS Office applications, especially Word, Excel, and PowerPoint
Working Conditions:
This is a primarily remote position that requires some on site, in person duties.
When on site, office activities are performed in an environmentally controlled office setting. This position requires extended periods of sitting, keyboarding and interaction with computer equipment; occasional bending, reaching, lifting, pushing and pulling up to 5-10 pounds.
